Google Account Storage Limit Changes

In 2021, Google announced a new storage policy for Google Workspace for Education customers, which includes Murray State University. This new policy will enforce a 100 TB storage quota limit across each organization that will be effective mid-2022. Murray State University’s current storage usage is well above that limit. 

Murray State is working to get our organization under the 100 TB storage limit. To do this, we will be placing storage caps on every MSU Google account on Tuesday, October 18, 2022 as follows: 

  • MSU employees will have a storage cap of 100 GB
  • MSU students will have a storage cap of 20 GB.
  • Retirees, departmental email accounts, and other types of service accounts will have the same cap as employees (100 GB).

What are the storage limits for my account?
  • Employee account storage caps are set at 100 GB.

How do I know how much storage space I have left?

Everything in your Google Mail, Google Photos, and Google Drive counts towards your limit. Google has provided several tools to help you view/manage your storage

NOTE: Items in your Drive Trash, Photos Trash, and Mail Trash count against your limit. Even though items will automatically be deleted after 30 days, we recommend cleaning out your trash when trying to stay under your storage cap.


What happens if I go over the storage limit?

After Tuesday, October 18, 2022, you need to stay under your storage limit for your Drive, Gmail, and Photos data to keep access to these services. If your account runs out of storage, your services will be disrupted until you free up more space.

  • Drive. You won’t be able to sync or upload new files. You will not be able to create new files in Google Docs, Sheets, Slides, Drawings, Forms, and Jamboard. Until you reduce the amount of storage you use, neither you nor anyone else can edit or copy your affected files. Syncing between your computer's Google Drive folder and My Drive will stop.
  • Photos. You won’t be able to add more or back up existing photos or videos.
  • Gmail. You'll still be able to send and receive email.

What happens to everything stored in my Google account when I leave Murray State?

Murray State Google accounts are maintained for current faculty, current staff, current students, and retirees. Once you leave Murray State, your Google account and all its contents are deleted after a certain period of time. This content includes contacts, email, Drive files, Google Photos, and so much more. We notify each person via their @murraystate.edu email address with a 30-day email notice letting them know when their account will be deleted so they can transfer their content and accounts.

How can I easily download or transfer all of my content?

Google has provided several ways to transfer your content to another Google account, or to download your content for use elsewhere. Please note that the above options are provided by Google. Google may change or disable those services at any time. Murray State University is not responsible for transferring your content to another account or service.
